 Holding Deposit

The holding deposit is required to confirm your commitment to renting the property. Payment (one week’s rent), means the property will be reserved for you and removed from the market to allow you time to go through the application process and providing there are no problems the Landlord should agree a tenancy with you. We cannot reserve the property until funds have cleared.  To pay your reservation fee we require a bank transfer paid to Handles Property in one payment.  We do not accept payments made by cash, cheque, debit or credit card.

Where the Landlord refuses the tenancy, the deposit may be returned to you, but if you provide false or misleading information or decline an offered tenancy you may lose the holding deposit. Please read the terms and conditions of the application before paying the holding deposit.

Once we have your application form we will do two things:

1) Prepare a legally binding contract for your group to sign. It’s important you read through the contract as you and your group could become liable for any breach. 

All our contracts are for a minimum 11 months and either commence in August or September (As indicated on the property list and website).

You must sign your contract within 15 days of reserving a property. We will send you a draft contract by email prior to you reserving a property so any questions can be answered.

2) We will write to your Guarantor to ask them to sign a contract guaranteeing you. All contracts will be required signed and returned by 15th January. Please inform your Guarantor they will receive an electronic contract to sign via email.

Please make sure your Guarantor is aware of their responsibilities by signing a contract. A Guarantor is liable for your rent if you don’t pay on time and cause damage to the property. This is also the case for any co-Tenants liabilities. All Tenants require a guarantor who is a UK homeowner.

 Lead Tenant

To enable us to work more efficiently we require each group to select a Lead Tenant. During the Letting process if any questions arise it is easier for all parties concerned to communicate through the Lead Tenant. Please note that Handles Property will liaise through the Lead Tenant for all enquiries regarding documentation, rental payments, invoices, maintenance issues and access to the property etc… and the Lead Tenant should inform the group.

 Security Deposit

A security deposit is required which will be 5 weeks rent, calculated as follows – Annual rental figure, divided by 52, weeks multiplied by 5.  The deposit will be protected and held through the Tenancy Deposit Scheme (TDS), a government approved deposit protection scheme, and a confirmation certificate will be provided to you within 28 days.

  Rent Payments

Rent payments must be paid from one account and are not accepted on an individual basis. We can only accept payments via standing order or online transfer and they must be paid at the intervals in accordance with your contract. Late payment fees may apply.


All our properties require two month’s rent paid in advance, a month prior to the commencement of the tenancy start date and then quarterly payments must be paid thereafter.

 Confirmation of ID and your Right to Rent

We require two forms of identification.

1)  A copy of your Student card. A scanned copy can be sent to and please put the address you are taking in the subject title.

2)  28 days prior to the tenancy commencing we require proof of your right to reside in the UK.  

This is required to enable us to satisfy our legal obligations set by the Government. For an EU Citizen a copy of your passport. Outside the EU a copy of your passport and Biometric immigration document with permission to stay for time-limited period or Non-EEA national residence card.

No key will be issued without this ID check.

 Check In

On the day your tenancy commences, it will be necessary for you to attend our office to collect keys. To ensure there is no delay and for a smooth transition we will ask you to make an appointment so a member of staff is dedicated to your handover. As previously mentioned we require your first rental instalment one month prior to the commencement date (if any part of the payment is outstanding or the contract isn’t completely signed we cannot release the keys).

PLEASE NOTE: Keys will need to be collected during our normal office opening hours. Please plan your trip accordingly.

 Inventories and Schedules of Condition

You will have an inventory and schedule of condition produced for the property and upon receipt of this document it must be read, completed and returned to the office within 24 hours. Any maintenance that is required during your tenancy on a managed property, must be reported to Handles Property as detailed in the Maintenance Guide, supplied in your information pack. It is vital that all maintenance is reported as per the guide, as the Tenant has a responsibility to prevent property damage and any neglect on the Tenant’s part could result in damages being claimed.

 Student Utilities 

On all managed properties Handles Property will notify The Council and the suppliers of Electric, Gas and Water of your occupation of the property with the lead Tenants details. It is your responsibility to set up the payment method available to you and also provide proof to the Council of your student status (to get your exemption), along with who else shares the property with you. It is your responsibility to arrange your own phone and internet connection although some of our properties do include internet within the rent, so please speak to a member of staff if you are unsure.

At this stage we hope you would have enjoyed your time at the property and we will aim to make the checkout process as quick and smooth as possible. We will send you a check out guide before you vacate which clearly states our expectations, in order to return your deposit in full. We will request the deposit return by the TDS at the end of the tenancy and whilst the majority of deposits will be returned within two to four weeks it could take longer should there be dilapidations that need to be agreed and deducted.

No amendments made to any of our documents or contracts shall be enforceable, unless agreed in writing by one of our Directors.  We accept no responsibility and will not be held liable for any losses, injuries or claims in relation to your letting and occupying the property.  If in doubt, please clarify with one of our Directors.
